Written acknowledgement from Belgian PowerAddicts vzw, hereafter the Organizer, of acceptance of the prospective sponsor’s completed sponsor registration form, which includes the prospective sponsor’s agreement to these terms and conditions, will constitute the creation of a contract between the Organizer and the sponsor. We will send an invoice to the sponsor upon written acknowledgement of the negotiated sponsor contract. All applicable fees are due within 30 days of invoicing. Until full payment is received, the sponsor will not be guaranteed a specific sponsorship benefits provision.
Cancellation
The sponsor may cancel the contract at any time. However, the sponsor fee will not be reimbursed. Also the sponsor benefits will stay in place for the duration of the contract period, unless the Sponsor states otherwise. Cancellation is established by giving written notice to the Organizer.
Eligibility
The Organizer reserves the right to determine whether a prospective sponsor is eligible to participate in events. Eligibility is generally limited to persons or firms who supply relevant products and services to the Microsoft Power Platform community. Applicants who have not previously sponsored the Organizer may be required to submit a description of the nature of their business and any items to be exhibited.
Event Packages
The Organizer shall make reasonable provision for security of the event location during off-hours. The Organizer shall not be held liable for any injury or damage to persons or property resulting from events. It is further agreed and understood that it is the responsibility of the sponsor to secure and maintain adequate insurance in sufficient amounts to protect against all such losses.
If the featured sponsor is not present on the opening day of the event, without any notice at least 2 hours beforehand, the Organizer has the right to cancel the contract, utilize and reassign the presentation slot, and keep all fees paid by the sponsor.
Event Packages – Location and Assignment of space
The location of all exhibit spaces in the area identified on the exhibition floor plan distributed beforehand. Dimensions on the floor plan are believed to be accurate and may require some adjustments at events. The Organizer reserves the right to relocate display areas at any time before or during events.
Event Packages – Security
We will take every reasonable precaution to protect property during events. However, neither the Organizer, the exhibition service contractor, nor the Management of the venue are responsible for the safety of the property of Sponsors from theft, damage by fire, accident, vandalism, or other causes. We advise the sponsors to carry protective insurance against theft, damage to their property.
Restrictions
The Organizer reserves the right to restrict or prohibit – without refund of fees – any exhibit or content which the Organizer, in its sole discretion, believes is objectionable or inappropriate: or which, because of noise, method of operation, materials, or for any other reason becomes objectionable, interferes with other Sponsors, or in the case of in-person events results in the obstruction of access to aisles or neighboring Sponsors. No Sponsors shall assign (whether voluntarily or involuntarily), sublet or share the assigned exhibit space, be it in-person or virtual, with any other entity without the prior written consent of the Organizer, which may be arbitrarily withheld.
General
The Organizer accepts liability that may arise from any willful default or negligence of their employees. They do not accept any liability whatsoever arising from any acts of default of independent organizations, their employees or agents over whom the Organizer has no control.
The Organizer cannot accept responsibility for any aspect of the arrangements relating to events affected by matters, of which they have no control, which includes war, or threat of war, riots and civil strife, terrorist activity, natural disaster, weather conditions, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by delegates in connection with events.
Sponsors who do not utilise the full extent of their package benefits will not be relieved of the obligation of paying the total price of their sponsorship package.
We remind the sponsors that all interactions and attendance data gathering, including via live chat and video facilities where available, must be GDPR compliant.
